PoolKeeper – Privacy Policy
Last updated: October 2026
PoolKeeper ("the App") is provided by Pratik Poddar, an individual developer based in India ("we", "us"). This policy explains what information the App accesses when a merchant installs it on their Shopify store, and how we use, store and delete it.
Information we access
- Shopify store information: your shop domain and an access token issued by Shopify so the App can read products, locations and inventory and update inventory quantities (
read_products, read_inventory, write_inventory, read_locations).
- Inventory information: for the variants you add to a pool, their variant and inventory item IDs, variant titles, the location ID and name, and their available quantities.
- Billing status: whether your store has an active PoolKeeper subscription, as reported by Shopify. Payments are handled entirely by Shopify; we never see card details.
We do not access or store any customer data: no names, emails, addresses, phone numbers or order details. The App does not request any order or customer scopes.
How we use it
Solely to provide the App: to keep the available quantity of every variant in a pool in step with the pool's shared stock, to show pool status and an activity log, and to enforce your plan. We do not sell, rent or share your data, use it for advertising, or use it to train AI models.
Where data is stored
- Our database stores: your shop domain and plan, your pools (name, location, unit label, quantity, buffer), pool members (variant and inventory item IDs, variant titles, multipliers, last known quantities), an activity log of quantity changes (timestamps, quantities, notes) and the Shopify session token.
- The App is hosted by Netlify (application) and Supabase (database) on Amazon Web Services. Data is encrypted in transit (TLS) and at rest by our hosting providers.
Sub-processors
- Shopify Inc. (store platform and billing)
- Netlify, Inc. and Supabase, Inc. (application hosting and database)
Retention and deletion
- When you delete a pool, its members and activity log are deleted immediately. Your Shopify inventory quantities are left as they are.
- When you uninstall the App, we delete the Shopify session and pause every pool. 48 hours later, when Shopify sends the
shop/redact webhook, we delete all remaining data for your store.
- We honour Shopify's mandatory privacy webhooks:
customers/data_request and customers/redact (we hold no customer data, so there is nothing to export or erase) and shop/redact (deletes all store data).
